Ordering Leather Menu Covers for a Restaurant Opening: Timeline and Checklist
A restaurant opening has a fixed deadline and a long list of things that must be in place before the first guest sits down. Leather menu covers are rarely at the top of that list — and that is exactly why they are frequently ordered too late.
The consequences are predictable: covers arrive after opening, staff use printed paper menus for the first two weeks, and the first guests form an impression of the restaurant before the real table setting is in place. Or covers arrive on time but without logo approval, in the wrong colour, with dimensions that do not fit the menu insert.
This guide gives you the timeline, the checklist and the order of decisions so that your menu covers are right, on time and the last thing you have to think about before opening.
The Timeline: Work Backwards from Opening Day
The total time from initial brief to delivery for a first order with sampling is seven to nine weeks. Work backwards from your opening date:

The critical path item is the logo. If your logo is not finalised ten weeks before opening, the timeline compresses at the most important stage — sample review. Finalise your logo file before you start looking at cover colours.
Decisions to Make Before Briefing a Supplier
Work through these decisions before contacting any supplier. Each one affects the brief, and a brief submitted with all decisions made produces a quote and digital proof faster than one that requires back-and-forth.
1. Which products do you need?
List every document that will sit on your table: – Food menu cover (main dining room) – Wine list cover (if separate from food menu) – Dessert menu cover (if presented separately) – Cocktail / bar menu cover (if you have a bar) – Check presenter (for bill presentation) – Any private dining room documents if different from the main dining room

2. What is your menu insert size?
The cover is cut to fit your insert. You need to know your insert dimensions before specifying the cover. If your menu is not yet designed, decide on the format (A4, A5, US Letter, custom) first — the menu design follows the format, not the other way around. 3. Genuine leather or PU leather?

4. What colour?
Leather colour should coordinate with your interior. If your interior is still being finalised, wait until you have a confirmed upholstery or furniture colour before specifying leather colour — a cover that clashes with your seating undermines the investment in both. Specify a Pantone reference if your interior designer has one, or send a physical swatch.
5. How many covers do you need?
Use the standard formula: table count × 1.2 for menu covers; table count ÷ 2 + 20% for check presenters. For a new opening, add an additional 10% to the standard formula — the first months of service always involve more handling damage than steady-state operations. See our quantity guide.
6. Is your logo finalised?
You need a vector file — .AI, .EPS or outlined PDF — of your final logo before placing the order. A logo that is “almost finalised” is not ready. Changes to the logo after the embossing die is cut require a new die and add cost and lead time. See our logo guide for file requirements.

What to Review When the Sample Arrives
The physical sample is your only opportunity to catch problems before they are multiplied across the full production run. Review it carefully:
Leather colour: view under your restaurant’s lighting conditions — warm restaurant light, not office fluorescent. Leather colour looks different under different light sources.
Logo impression: check the embossing depth and definition. For blind emboss, is the impression deep enough to be legible? For foil stamp, is the foil adhering cleanly to the edges of the logo?
Cover dimensions: measure the cover against your menu insert. The insert should sit inside the cover with a 5–8 mm margin on each side.
Interior: check any internal pockets, card slots or pen loops. Insert the actual items you intend to use — your menu insert, your payment card, your pen — and confirm they fit correctly.
Stitching: run your thumb along the stitching lines. Thread should be consistent and secure with no loose ends.
Closure (if specified): open and close the cover ten times. A magnetic closure should snap cleanly; a press-stud should click securely.
Weight and feel: hold the cover as a guest would. Does it feel appropriate for the price point of your restaurant?
If anything needs adjusting, request a revised sample before approving bulk production. One additional sample round adds seven to ten working days to the timeline — which is why the ten-week lead time exists.
Common Mistakes in Opening Orders
Ordering too late. The most common problem. Ten weeks before opening is the minimum; twelve weeks is more comfortable for a complex order with multiple product types.
Using an unfinished logo. A logo marked “final but we might adjust the font” is not final. Do not order an embossing die until the logo is completely locked.
Not ordering enough covers. New restaurant openings are harder on covers than steady-state operations. Staff are learning, service is faster, covers are handled more. Order the standard quantity plus a 10% opening buffer.
Ordering covers before the menu format is decided. The cover is cut to fit the insert. If the menu format changes after covers are ordered, the covers may not fit. Decide the menu format first.
Not reviewing the sample under restaurant lighting. Leather colour approved under office lighting and then installed under warm restaurant lighting can look noticeably different. Always review samples on-site.
