Hotel In-Room Leather Compendiums: A Complete Specification Guide
The in-room compendium is the most information-dense branded item in a hotel room. It holds the service guide, the dining menus, the spa schedule, the local area information, the emergency procedures and in some properties the television guide and minibar price list. Guests consult it when they arrive, when they want to order room service, when they want to know the pool hours, and when they are leaving and need to settle their bill.
A leather compendium that is well-constructed, cleanly branded and consistently maintained signals that the hotel has considered every detail of the guest experience. One that is worn, stained or struggling to hold its inserts signals the opposite.
This guide covers every aspect of leather compendium specification for hotel buyers: formats, sizes, materials, insert configuration, logo treatment and maintenance.
What an In-Room Compendium Contains
The compendium typically holds some or all of the following:
- Hotel welcome letter — a personal message from the general manager or property team
- Room service menu — food and beverage available for in-room dining
- Restaurant and bar information — dining venue descriptions, opening hours, reservation contact
- Spa and wellness information — treatment menu, booking information, pool and gym hours
- Hotel facilities guide — business centre, concierge services, laundry, transport
- Local area information — recommended restaurants, attractions, transport connections
- Emergency information — fire evacuation plan, emergency contacts
- Checkout information — checkout time, bill settlement, late checkout procedure
The compendium is the guest’s primary reference document during their stay. It needs to be organised, easy to navigate and consistently maintained with current information.
Format Options
Standard bi-fold compendium The most common format: a leather cover that folds flat, with internal pockets on both panels and a spine that accommodates the total thickness of all inserts. Standard open dimensions: A4 (210 × 297 mm per panel) or US Letter (216 × 279 mm per panel).
The interior configuration typically includes: – Right panel: a clear pocket or sleeve for the main service guide booklet – Left panel: multiple slip pockets for individual information sheets – Spine: adequate thickness to accommodate all inserts without the compendium bulging
Specify spine width based on the total thickness of your inserts. A compendium filled with a 20-page booklet plus six individual A4 sheets needs a spine of approximately 15–20 mm. A compendium with only a thin service guide needs a spine of 5–8 mm.
Portfolio compendium with writing pad A compendium that includes a writing pad slot — holding a branded hotel notepad — alongside the service guide. Guests who want to make notes, write a to-do list or leave a message for another guest in the room use the notepad. The portfolio configuration combines the reference function of a standard compendium with the stationery function of a desk notepad.
Tablet compendium Some properties have moved service guides to digital format — an iPad or tablet in the room rather than a printed booklet. A leather tablet compendium holds the device in a landscape or portrait orientation within a leather cover, with the hotel logo embossed on the front. The device charges via a slot in the back panel or through a cable management opening.
Slim document folder For properties that present minimal information in the room — a single welcome letter and a QR code linking to a digital service guide — a slim leather document folder (no spine, single interior pocket) is a clean alternative to a full compendium. Lower cost, easier to maintain, appropriate for design-forward properties where simplicity is part of the aesthetic.
Insert Configuration
The internal pocket configuration must match the actual inserts you plan to use. Before specifying the compendium, confirm:
Insert count and dimensions: how many separate documents will be inside, and at what size. A4, US Letter and custom sizes are all accommodated.
Booklet thickness: if you use a saddle-stitched service guide booklet, measure its thickness. The spine width of the compendium must exceed the total insert thickness to close flat.
Update frequency: if your room service menu changes seasonally, the compendium pocket must allow easy insert replacement — a top-open pocket rather than a sealed pocket. Confirm that inserts can be changed by housekeeping staff without tools or disassembly.
QR code inserts: some properties include a QR code card that links to a digital service guide, alongside a minimal printed insert. This configuration uses a much slimmer compendium than a full printed guide — specify accordingly.
Material and Colour
Genuine leather is the standard for upper-upscale and luxury properties. Full-grain or top-grain leather in a rich, dark tone — black, deep brown, navy, forest green — communicates quality in the brief moment between a guest picking up the compendium and opening it.
High-grade PU leather is appropriate for mid-market properties and any property where the compendium is expected to be handled heavily and replaced on a regular cycle. PU leather is easier to clean between guest stays and more resistant to the oil from repeated handling.
For the full material comparison, see our leather vs PU guide.
Interior lining: a microfibre or fabric lining on the interior panels adds a refined quality when the compendium is opened. Standard interiors are plain leather or PU; lined interiors add cost but are appropriate for luxury specifications.
Logo Treatment
Blind emboss on front cover, centred or bottom right. The standard placement for hotel compendiums. The hotel crest or wordmark pressed into the leather without foil — present but not commercial.
Gold foil for luxury and resort properties where the exterior needs to make a stronger visual statement. Particularly effective on dark leather.
Interior branding: the inside front panel can carry a secondary brand element — a tagline, a property management group logo or a welcome message embossed in a smaller scale. This is noticed when the compendium is opened and reinforces brand identity without dominating the exterior.
For logo file requirements, see our logo embossing guide.
Maintenance and Lifespan
A hotel compendium in a room with moderate occupancy is handled by a new guest every one to three days — approximately 150 to 300 handling events per year. With correct cleaning and maintenance, a genuine leather compendium in a well-managed hotel should last five to eight years before replacement.
The most common maintenance failure is allowing compendiums to accumulate marks from guests without a consistent between-stay cleaning protocol. See our hotel leather maintenance guide for the correct cleaning procedure by material type.
Quantity Planning
Starting quantity = room count × 1.1
A 120-room hotel needs approximately 132 compendiums as starting stock. Annual replacement depends on damage and loss rate — typically 5–10% per year for a well-maintained property. At 10% annual replacement, a 120-room hotel replaces 12–13 compendiums per year. Plan a reorder every two to three years to replenish stock.
Our 50-piece MOQ is appropriate for hotels of 45 rooms and above. For boutique properties with fewer rooms, contact us to discuss options — combining the compendium order with key card holders and luggage tags in a single order can achieve the minimum across all three products.
For the full hotel amenity quantity planning methodology, see our hotel sourcing guide.
Coordinating with the Full Hotel Leather Set
The compendium should be specified alongside all other hotel leather goods — key card holders, luggage tags, passport holders, restaurant menu covers — in a single production run. Leather batch consistency across the full property is only achievable when all products are produced at the same time from the same raw material.
