Why a Set vs Individual Pieces?
A coordinated set creates a significantly stronger first impression than individual items sourced separately. When all three pieces arrive in the same colour, same leather grain and with the same logo treatment, the effect is cohesive and intentional — guests perceive it as a considered design decision rather than a collection of separate items.
The set is also operationally simpler: one supplier, one order, one DHL shipment. You don’t need to coordinate three separate factories and three separate deliveries to get a unified look.
Full-Grain vs PU for Welcome Kits
- Full-grain cowhide — recommended for 4-star and above. Guests immediately notice the quality. Develops a patina that becomes more beautiful over time. The pen sleeve and notebook cover are handled frequently — genuine leather rewards this use.
- PU leather — consistent colour and finish. More cost-effective. Good option for properties doing high-volume guest gifting or seasonal updates. Visually very similar to genuine leather in photographs and at check-in.

Packaging Options
- Standard poly bag — each set individually wrapped. Lowest cost. Suitable for operational use where the set is presented loose at check-in.
- Branded gift box — rigid box with your hotel’s name or logo on the lid. Elevates the presentation significantly. Adds $2–5 per set. Most popular for 4-star and above.
- Tissue wrap — tissue paper in your brand colour inside the box, wrapping the leather pieces. Adds a tactile unboxing moment. Popular for VIP and suite arrivals.
- Welcome card slot — a pocket inside the box lid for a personalised welcome card. Makes the set feel tailored even for standard rooms.

Order Process
- 1. Enquiry — kit configuration, quantity, leather colour, logo file and packaging preference. Reply within 24 hours with full pricing.
- 2. Sample set — we produce and dispatch a complete sample set ($35–60 per set depending on configuration). 7–10 days to your door via DHL. Sample cost credited back on production order.
- 3. Approve & place order — once satisfied with the sample set, confirm production. 50% deposit to begin.
- 4. Production & QC — 18–28 working days. We inspect the complete sets on-site before shipment, checking colour match, logo consistency across all pieces and packaging quality. Photo and video report sent for your approval.
- 5. DHL delivery — balance payment, then 5–7 working days to Europe or the Middle East.

Yes — the kit is fully configurable. Our standard set is key card holder + notebook cover + pen sleeve, but you can add a luggage tag, remove the pen sleeve, add a gift box, or include any combination that suits your property. We can also produce different configurations for different room categories — for example, a standard kit for regular rooms and a premium kit with luggage tag and gift box for suites. Tell us what you need when you enquire and we’ll quote accordingly.
All pieces in a welcome kit set are cut from the same leather batch on the same production run. This is the only reliable way to guarantee colour consistency — leather has natural variation between batches. We specifically manage this by producing the complete set together rather than sourcing each piece separately. During our pre-shipment inspection, colour matching across all pieces in the set is one of the specific items we check and photograph.
The standard kit includes the leather notebook cover only — not a notebook inside it. Most hotels choose to source notebooks locally or already have a preferred hotel stationery supplier. If you’d like us to source notebooks to include in the cover, we can arrange this — typically a plain A6 hardcover notebook in a neutral colour. Add this request to your enquiry and we’ll quote separately. The pen sleeve similarly does not include a pen by default, but we can source and include a branded pen if needed.
Yes — not every room needs every piece. For example, you might order 100 key card holders (for all rooms), 60 notebook covers (for extended-stay guests) and 30 pen sleeves (for suite guests only). Each piece has its own MOQ of 50 units, so as long as each individual item is ordered in quantities of 50+, we can produce them in different quantities. Tell us your requirements per piece when you enquire.
The most effective presentation is to have the kit pre-assembled in its gift box (or tied with a ribbon if using poly bag packaging) and placed on the bed or desk in the room before arrival — or presented at the front desk as part of the check-in process. If you’re using the branded box with tissue wrap, the unboxing moment becomes part of the welcome experience. Some hotels place a personalised welcome card on top of the kit with the guest’s name — a detail guests consistently mention in reviews.
