A supplier who receives that brief will make reasonable assumptions about shade of dark, grade of leather, embossing depth, stitching colour and a dozen other variables. Some of those assumptions will match what the buyer wanted. Some will not. The buyer receives a sample that is &ldquo;almost right&rdquo; and spends another two weeks on revisions that could have been avoided with a more complete initial brief.<\/p>\n<p>This guide covers how to write a brief that closes the assumption gaps, how to communicate effectively through the sample and production stages, and what to do when something does not match expectations.<\/p>\n<hr \/>\n<h2 id=\"s1\">The Initial Brief: What to Include<\/h2>\n<p>A complete brief for a leather hospitality goods order includes seven elements. Missing any one of them will generate a question from your supplier \u2014 and every question-and-answer cycle adds days to the timeline.<\/p>\n<p><strong>1. Product and format<\/strong>\nNot just &ldquo;menu cover&rdquo; but: A4 bi-fold, single fold, with or without spine, number of internal pockets, pocket configuration. If you have a reference product \u2014 an existing cover you like \u2014 send a photograph of the interior as well as the exterior.<\/p>\n<p><strong>2. Material grade<\/strong>\nGenuine leather (full-grain or top-grain), high-grade PU, standard PU, microfibre vegan. Timeline<\/strong>\nYour required delivery date, or your opening date if sourcing for a new property. State this upfront \u2014 it allows the supplier to confirm immediately whether the timeline is achievable rather than raising it after the sample stage.<\/p>\n<p><strong>7. Destination<\/strong>\nYour delivery country and city. Affects shipping cost estimate and DHL transit time calculation.<\/p>\n<hr \/>\n<h2 id=\"s2\">The Language of Specification<\/h2>\n<p>When writing to a Chinese supplier in English, precision matters more than sophistication. Simple, specific language produces fewer misunderstandings than complex sentences with implied meaning.<\/p>\n<p><strong>Be literal.<\/strong> &ldquo;Black&rdquo; not &ldquo;very dark.&rdquo; &ldquo;A4 (210 \u00d7 297 mm)&rdquo; not &ldquo;standard size.&rdquo; &ldquo;Blind emboss&rdquo; not &ldquo;pressed in without colour.&rdquo;<\/p>\n<p><strong>Use numbers wherever possible.<\/strong> &ldquo;Logo width approximately 50 mm&rdquo; is clearer than &ldquo;medium-sized logo.&rdquo; &ldquo;Spine width 12 mm&rdquo; is clearer than &ldquo;thick enough for the insert.&rdquo;<\/p>\n<p><strong>State what you do not want.<\/strong> &ldquo;No visible stitching on the front panel&rdquo; eliminates an assumption the supplier might otherwise make. &ldquo;Interior lining not required&rdquo; removes the possibility of an unwanted upgrade.<\/p>\n<p><strong>Reference the sample explicitly.<\/strong> When approving or requesting changes on a sample, reference specific elements: &ldquo;The logo impression depth is correct. The card slot depth is correct.&rdquo;<\/p>\n<p><strong>Confirm understanding.<\/strong> After sending a complex brief, ask the supplier to confirm their understanding of each element before producing the digital proof. A brief confirmation (&ldquo;please confirm: A4 bi-fold, 60 pieces, genuine leather top-grain, black, blind emboss centred front cover, delivery to London by 15 March&rdquo;) catches misunderstandings before they reach production.<\/p>\n<hr \/>\n<h2 id=\"s3\">The Digital Proof Stage<\/h2>\n<p>The digital proof is a scaled photograph or rendering showing your logo on the cover at the intended size and position. It is the first opportunity to catch problems before production.<\/p>\n<p>What to check on a digital proof:<\/p>\n<p><strong>Logo scale.<\/strong> Is the logo proportionate to the cover? A logo that looks correct on an A4 cover may look undersized on an A3 cover and oversized on an A5 cover. Compare the logo width to the cover width \u2014 for most hospitality goods, the logo should occupy 15\u201325% of the cover width.<\/p>\n<p><strong>Logo position.<\/strong> Is the placement as specified? Front centre means the logo is centred horizontally and positioned at approximately two-thirds of the cover height from the bottom. Bottom right means the logo is in the lower right quadrant, with consistent margins from the right edge and bottom edge.<\/p>\n<p><strong>Embossing method indication.<\/strong> The digital proof typically shows the logo in the foil colour (for foil stamping) or as a tonal variation (for blind emboss). Confirm the embossing method matches what you specified.<\/p>\n<p><strong>Overall proportions.<\/strong> Does the cover look correctly proportioned? A spine that looks too wide in the proof will look too wide in the physical sample. Raise it now rather than after the sample is produced.<\/p>\n<p>Request revisions in the same specific language as the original brief. &ldquo;Move the logo 10 mm lower and reduce the width by 15%&rdquo; is actionable. &ldquo;The logo position doesn&rsquo;t look right&rdquo; is not.<\/p>\n<hr \/>\n<h2 id=\"s4\">The Physical Sample Stage<\/h2>\n<p>The physical sample is the most important communication checkpoint in the order. A sample approval that misses a problem multiplies that problem across the bulk production run.<\/p>\n<p><strong>Review the sample against your original brief, not against your general impression.<\/strong> Go through each element of your brief systematically: material, colour, format dimensions, logo, embossing method and depth, interior configuration, stitching colour.<\/p>\n<p><strong>Review under the correct lighting.<\/strong> Leather colour under office fluorescent light differs from the same leather under warm restaurant or hotel room light.
